Policy for Internal Use
Use of a University mark with an organization implies association with UI. Therefore, only Registered Student Organizations (RSO’s) and official campus departments or groups are allowed to use UI trademarks in conjunction with their organization’s name.
UI departments, groups and registered student organizations may not assign trademark usage rights, or otherwise grant permission, to any other internal or external entity for any purpose without prior review and approval by the UITL.
As registered student organizations are not part of UI, organizations may not use University of Idaho at the beginning of their organization name or “…of University of Idaho” at the end of their organization name, unless funding is received directly from a university department. Registered student organizations may use “at University of Idaho” or “UI Chapter” at the end of the organization’s name if the organization is affiliated with a national or regional organization. “Vandal(s)” can only be used with the addition of “Club” or (other identifier that distinguishes it from Intercollegiate Athletics) at the end of the name.
Correct Examples: Sailing Club at UI; Vandal Chess Club, UI Chapter; Cycling Team at University of Idaho.
Incorrect Examples: University of Idaho Debate Society; Commuter Students of UI; UI Cycling Team.
The only items exempt from royalties are those items produced for internal use. Items must be purchased with UI funds and include either the specific unit or event the item is promoting. All other uses of trademarks on products are subject to royalties including sales for fundraising projects, thank you gifts for a donation and sales to individual members of an organization. To request exemption from royalties, organizations must fill out a “Merchandise Order Form.”
Some uses of UI trademarks by departments, groups, and RSOs may not require prior approval from the UITL.These include:
Uses of trademarks in the ordinary course of conducting University business provided they make no changes to the design or approved colors of University trademarks and adhere to UI Brand Resources Guide and other related guidelines in this policy. Examples include the use of trademarks on stationery, business cards, reports, official publications, and similar materials, and materials used in academic courses.
Trademark Uses That Require Approval:
- All Products: All uses of University trademarks on products require prior approval from the UITL, even if the proposed uses do not involve the sale of a product; i.e. promotional items for conferences or meetings, items for fundraisers, gifts, etc.
- Promotional: See Promotional Use Policy.
- Other: All other uses, except those listed in “Trademark Uses That May Not Require Approval.”
Any product bearing UI trademarks or a specific department logo must be purchased from licensed manufacturers. Using an officially licensed company to manufacture a product ensures that the company has provided the correct product liability insurances and signed UI’s code of conduct agreement. To ensure consistency in the use of UI trademarks, all product designs must be approved by the UITL before production. In most cases, the manufacturer can submit the design for approval on behalf of the organization/department. However, if there are questions concerning the design, the organization’s representative may contact the UITL directly.
